How to Write Sample Revision Comments a Factory Can Act On

Write actionable apparel sample revision comments by separating measurements, construction, materials, workmanship and priorities for clearer approval.

Useful sample comments tell the development team what was reviewed, what should change and how approval will be judged. Comments such as make it better or fit is wrong create interpretation. Numbered notes, measurements and marked photos create a clearer revision cycle.

Identify the sample and version

Record style, color, size, sample stage and date. State which technical pack or comment sheet is current. This prevents feedback for one version being applied to another.

Separate fit from measurement

A fit observation explains what happens on the body; a measurement comment defines a dimensional change. Use front, side and back photos, identify the area and provide a target measurement when appropriate.

Group comments by decision type

Organize fit, construction, fabric, color, trims, branding and packing separately. State approved items as well as rejected items so the next sample does not change something that was already correct.

Close every open point

Assign each comment an action: revise, confirm, provide option, buyer to supply or approved. When the next sample arrives, respond against the same numbered list and record the result.

Practical application

A common mistake to avoid

Combining several changes in one sentence makes it difficult to confirm what was completed. Directional words such as tighter, longer or lower are also ambiguous without a location, amount or visual reference. Avoid editing old screenshots without updating the written list.

What to record

Use one row per comment with number, area, observation, requested action, reference image, owner and status. Carry unresolved numbers into the next round. Mark approved items as retain so the maker knows which details should not move.

How to use this in a supplier conversation

Before requesting another sample, ask the development team to acknowledge each action and flag any conflict. If a measurement change affects balance or construction, discuss the consequence rather than insisting on isolated numbers that may not work together.
