Pre-Production Sample Approval Checklist for Apparel Buyers
Use a pre-production sample checklist to confirm measurements, materials, construction, branding, packing and open risks before apparel bulk production.
The pre-production sample should represent the product that bulk production is expected to follow. Approval is stronger when it covers the sample, current specification and material references together. A signature without a closed comment list can leave important decisions unresolved.
Confirm identity and version
Check style number, color, size, sample date and specification revision. Confirm that all earlier comments have a recorded disposition and that the physical sample matches the latest written information.
Review fit, measurements and construction
Measure the agreed points, note tolerance expectations and inspect seams, pockets, closures, lining, hems and finishing. Review the garment from front, back, side and inside where relevant.
Approve materials and appearance
Confirm fabric, color, print, wash, trims, hardware and branding against approved references. Identify any substitute or remaining bulk approval rather than treating it as silently accepted.
Connect the sample to packing
Confirm labels, hangtags, folding and individual packing. Some carton details may be approved separately, but the responsibility and timing should be recorded before production release.
Practical application
A common mistake to avoid
Approval is risky when it says proceed except for a long list of unresolved comments. If production must begin before every item is physically represented, identify the remaining approvals and the exact evidence required. Silence should not be treated as approval.
What to record
Store the signed or confirmed sample record with specification revision, measurement report, material approvals, artwork and outstanding actions. Identify who holds the sealed reference and how production changes will be authorized.
How to use this in a supplier conversation
Ask the production team to summarize what is approved, what will be corrected in bulk and what still requires buyer confirmation. Resolve contradictions between the physical sample and written specification before releasing the order.
